This privacy policy sets out the basis on which any personal data which is collected from you, or that you provide to us, will be processed by National Pet Month.
National Pet Month is committed to ensuring your privacy is respected and protected. Should we ask you to provide certain information by which you can be identified when using this website, then you can be assured that it will only be used in accordance with this privacy statement. We have legal obligations to use your personal information in line with applicable laws.
The data controller is National Pet Month, a registered charity number 1114880 and registered company number 05664701 with its registered address at 3 Crossfield Chambers, Gladbeck Way, Enfield, Middlesex EN2 7HF.

National Pet Month is a charity promoting responsible pet ownership

Within the context of this privacy statement, “we” means www.nationalpetmonth.org.uk .
We don’t and promise not to sell or swap any details that our subscribers provide to us with any other organisation or third party other than our suppliers (see below the arrangements we have in place with those suppliers). We respect your privacy and value your support and interest and the work that you may do with us.

HOW DO WE COLLECT INFORMATION?
We may collect and process the following data about you:
Information you give us

  • You may give us information about you by responding to National Pet Month communications, registering your details and events on the National Pet Month website www.nationalpetmonth.org.uk, by mail or on our social media as well other social media pages operated by us or on our behalf (our sites) or by corresponding with us by phone, email or otherwise. This includes information you provide when you enquire about our activities, register for an event, register your business as Pet Care Aware, sign up for emails, place an order on our sites, participate in social media functions on our site and when you report a problem with our site.  
  • We may also collect information about individuals with whom we would like to stay in touch at events, for example, by swapping business cards.
  • The information you give us may include your name, address, job role, email address, phone number and, where you work for an organisation, the name and address and other details of that organisation. 
  • We may also collect data about individuals who work for or are associated with organisations with whom we work with or with whom we wish to work as a partner. We may, for example, obtain or confirm your work contact details or gather more information about your role to ensure that we are contacting the appropriate individual at that organisation.
  • Websites: In addition to the information you give us when filling in a form, signing up to an event or placing an order on our websites, we collect aggregated or anonymous information about how you use the websites.

For general guests to our website the information gathered is anonymous, we can capture technical information, including the internet protocol (IP) address used to connect your computer to the Internet, browser type and version, browser plug-in types and versions, operating system and platform. Information about your visit, including the full URL, clickstream to, through from our site (including date and time), information you viewed or searched for, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), methods used to browse away from the page.

We may collect the following information:

  • Event organisation history
  • Purchase history

HOW DO WE USE THE INFORMATION WE COLLECT ABOUT YOU?
We use information held about you in the following ways:

  • For administration purposes (for example we may contact you regarding a payment you have made, to clarify details about an event you are holding during National Pet Month or about your business you have registered as Pet Care Aware).
  • To keep a note of your preferences on what and how you want to engage with National Pet Month
  • To analyse the personal information we collect and combine it with other information which we have collected to create a profile of your interests and preferences so that we can understand our supporters/visitors better.
  • From time to time we may also use your information to contact you for market research purposes. We may contact you by email, post or through social media.
  • To analyse the likely and actual results of campaigns.
  • To provide you with the goods, services or online content you select and any other related goods or services we may provide.
  • To invite you to events or to request your support for particular campaigns/surveys that we are running.
  • For businesses, to approach you in relation to sponsorship or to invite you to become a Pet Care Aware business
  • To provide you with information about our work or our activities that you have agreed to receive and to keep you up to date with the work of National Pet Month.
  • For holding records that we are legally required to keep so that we meet HMRC and other regulators’ compliance requirements.
  • Sometimes we may wish to use your data (including photographs) for our campaigns. When we do this we will ask you to complete and sign a form confirming that you agree to our use of your data in this way (for example in relation to National Pet Month events you have organised including photos sent in to us).
  • We may periodically send promotional emails which we think you may find interesting using the details which you have provided.

For other people with whom we work

  • Where we work with other organisations with whom we engage or wish to engage, to provide you with information about our work or our activities and to invite you to work with us.
  • For lobbying and advocacy purposes where you work for an organisation we believe is engaged in seeking to improve animal welfare.

  • To ensure that content from our site is presented in the most effective manner for you and for the electronic devices that you use.
  • To ask for your help in promoting National Pet Month, its work and animal welfare generally.

Where possible we use aggregated or anonymous information which does not identify individual visitors to our websites.
We do not usually collect “sensitive personal data” unless there is a clear reason for doing so, to ensure we provide appropriate facilities for you to be able to participate in an event/function.
DO WE USE COOKIES?

Email and other electronic channels: We will only contact you for marketing purposes by email or other electronic means such as social media if you have agreed to be contacted for these purposes.  We shall continue to contact you unless you tell us otherwise. 
Telephone: We will only contact you for marketing purposes by telephone if you have agreed to be contacted for these purposes and only on a number you provided to us for these purposes and have not opted out from receiving such communications. We screen against TPS and will only contact individuals who are registered with TPS by telephone if they have expressly consented to being contacted. Please contact us if you prefer not to be contacted by telephone specifying the number or numbers that you wish not to be contacted on.
Post: Where you have provided your postal address we may send you correspondence by post about our work unless you have told us that you do not wish to receive such information by post.
If you are working for an organisation with whom we work or wish to work, what will we contact you about?
We may contact you by email or other electronic and post means to continue or commence our engagement with you. In certain circumstances, we may rely on the fact that you have provided your contact details to us, for example, by giving us your contact details or where we find your contact details on any public directory and if we do this it will only be for the purposes connected with your role at the organisation for whom you work. Please also see above regarding who we will share your data with.
LEGAL BASIS FOR PROCESSING YOUR DATA
Where you provide your contact details (ie postal address, email and/or mobile telephone number) to us and signify that you consent to us contacting you.
In some limited cases, for example, when you provide your business card to us we will retain and use your contact details on the basis that we treat this as your consent to us processing your data in this way unless you have informed us or inform us at any time that you do not wish to hear from us in this way.  Please see the information below under the heading called “Contacting Us” if you wish to change the way in which we contact you or to ask us to cease contacting you.
We also rely on the legitimate interest legal basis for some processing, which applies to the following:

  • Where you are an established member and we are contacting you about our activities.
  • We consider that we have a legitimate interest in continuing to contact you by email, post and/or telephone once you have provided your details and there is no overriding prejudice to you by our use of your data in this way and for these purposes subject always to our carrying out appropriate checks. 

DISCLOSURE OF YOUR INFORMATION
We will only use your information within National Pet Month for the purpose or purposes for which that information was obtained. We may share your information with selected third parties such as suppliers including printers and mailing houses and sub-contractors for the performance of any contract we enter into with them or you. We require such suppliers and any third party that processes data on our behalf to sign a legally binding contract that requires them to comply strictly with our instructions on how they may use your data and which requires them to comply with data protection law.
We will keep your information confidential except if:

  • We are under a duty to disclose or share your personal data in order to comply with any legal obligation, or
  • In order to enforce or apply our terms of use or supplier terms and conditions to protect the rights, property, or safety of National Pet Month, or others.  

WHERE WE STORE YOUR PERSONAL DATA
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online. We are also on the Data Protection Register.
All information you provide to us is stored on secure servers. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our website, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.
Although we take appropriate measures to protect your personal data, the transmission of information via the Internet is never completely secure, and any transmission is at your own risk. We regularly run tests, including commissioning third parties to run those tests that check the security of our systems.

HOW LONG WILL YOU KEEP MY PERSONAL INFORMATION?
We will hold your personal information on our systems for as long as is necessary for National Pet Months relevant activity and in accordance with applicable legal requirements and tax and accounting rules, e.g. we will keep a record of financial transactions for at least seven years. 
For those individuals working for other organisations we will retain your data for as long as we have a working relationship with you at that organisation or any other organisation which is engaged in work which is relevant to our activities. Where your data is no longer required we will ensure that it is disposed of securely.
We will only contact you according to your preferences that you have chosen, you can request to be removed at any time.
Where you contribute material to us, e.g. in response to a particular campaign, we will only keep your content for as long as is reasonably required for the purpose(s) for which it was submitted unless otherwise stated at the point of collection.
